Job Overview:
We Care International is a dedicated nonprofit and charitable organization committed to improving the lives of vulnerable communities through impactful programs and initiatives. We seek a diligent and detail-oriented volunteer finance assistant and support to aid the head of finance and team-ageing the organization’s financial operations. Key Responsibilities:
- Financial Record Keeping:
- Assist in maintaining accurate and up-to-date financial records.
- Record financial transactions in the accounting system, ensuring timely and precise postings.
- Help prepare and file financial documents, such as invoices, receipts, and statements.
- Accounts Payable and Receivable:
- Support processing accounts payable, ensuring timely and accurate payment of invoices.
- Assist in monitoring accounts receivable, following up on outstanding payments, and maintaining accurate records.
- Bank Reconciliation:
- Assist in regular bank reconciliations to ensure alignment between bank statements and organizational records.
- Help investigate and resolve discrepancies promptly.
- Budget Management:
- Assist in preparing and monitoring budgets for various projects and departments.
- Provide support in generating budget vs. actual reports for program managers and senior management.
- Financial Reporting:
- Assist in preparing monthly, quarterly, and annual financial reports for internal and external stakeholders.
- Support preparing financial statements in compliance with organizational policies and donor requirements.
- Grant Management:
- Support the financial management of grants, including budget preparation, expense tracking, and financial reporting.
- Ensure compliance with donor requirements and timely submission of financial reports.
- Payroll Support:
- Assist in preparing and processing payroll, ensuring accuracy and compliance with local labour laws.
- Maintained payroll records and handled related inquiries.
- Compliance and Audit Support:
- Ensure compliance with all financial regulations, organizational policies, and donor requirements.
- Support internal and external audits by providing necessary documentation and information.
- Cash Management:
- Assist in monitoring cash flow and ensuring sufficient funds are available for operational needs.
- Manage petty cash, ensuring proper documentation and reconciliation.
- Financial Analysis:
- Conduct fundamental financial analysis to support decision-making and strategic planning.
- Identify and report on financial trends, risks, and opportunities.
- Administrative Support:
- Provide administrative support to the finance department, including filing, data entry, and correspondence.
- Assist in the coordination of financial meetings and preparation of meeting materials.
- Training and Capacity Building:
- Participate in training and development opportunities to enhance financial skills and knowledge.
- Support the promotion of financial literacy and accountability within the organization.
- Other Duties:
- Perform other finance-related tasks and special projects as the Finance Manager/Director assigns.
- Continuously seek to improve financial processes and procedures to enhance efficiency and effectiveness.
Qualifications:
- Bachelor’s degree in Finance, Accounting, Business Administration, or a related field (or currently pursuing such a degree).
- Minimum of 1-2 years of experience in a finance or accounting role, preferably within an NGO or charity organization.
- Proficiency in accounting software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Basic understanding of financial regulations, accounting principles, and grant management.
- Excellent organizational and time management skills.
- High level of attention to detail and accuracy.
- Strong interpersonal and communication skills.
- Ability to work independently and as part of a team.

Working Conditions:
- Office-based with occasional travel to project sites as required.
- Flexible working hours to accommodate volunteer availability.
- Additional hours may be required during peak periods, reporting periods, programs and events or to meet deadlines.
