Job Overview:
We Care International is a dedicated not-for-profit charitable organization committed to improving the lives of vulnerable communities through impactful programs and initiatives. We seek a dedicated and strategic volunteer Secretary to support the CEO and Board of Directors in overseeing the organization’s operations, governance, and strategic initiatives. This voluntary position offers a unique opportunity to contribute to meaningful causes while gaining invaluable experience in nonprofit leadership.
Key Responsibilities:
- Governance and Executive Support:
- Serve as the primary liaison between the CEO and the organization’s staff, Board of Directors, and external stakeholders.
- Prepare and distribute meeting agendas, minutes, and materials for Board meetings and executive sessions.
- Ensure the CEO is informed of organizational performance, strategic initiatives, and critical issues.
- Assist in the development and implementation of governance policies and procedures.
- Strategic Planning and Implementation:
- Collaborate with the CEO to develop and implement the organization’s strategic plan.
- Monitor progress towards strategic goals and provide regular updates to the CEO.
- Identify opportunities for organizational growth and improvement.
- Operational Management:
- Oversee the day-to-day operations of the organization, ensuring efficiency and effectiveness.
- Develop and implement operational policies, procedures, and systems.
- Ensure compliance with legal, regulatory, and donor requirements.
- Financial Oversight:
- Assist the CEO in overseeing the financial health of the organization.
- Support the development and management of the annual budget.
- Ensure accurate financial reporting, transparency, and accountability.
- Assist in preparing financial statements and reports for the CEO and Board.
- Fundraising and Resource Development:
- Support the CEO in leading fundraising efforts and developing strategies to secure diverse funding sources.
- Cultivate relationships with donors, partners, and stakeholders.
- Oversee grant writing, proposal development, and donor reporting.
- Program Management:
- Oversee the development, implementation, and evaluation of programs and initiatives.
- Ensure programs align with organizational goals and meet the needs of target communities.
- Foster a culture of continuous improvement, innovation, and impact measurement.
- Human Resources Management:
- Support the CEO in leading and managing the organization’s members, volunteers, and staff.
- Oversee recruitment, training, performance management, and professional development.
- Ensure compliance with labour laws and organizational policies.
- Advocacy and Public Relations:
- Represent We Care International to external stakeholders, including government agencies, donors, partners, and the media.
- Advocate for policies and initiatives that align with the organization’s mission and objectives.
- Enhance the organization’s public profile and credibility through effective communication and outreach.
- Partnerships and Collaboration:
- Develop and maintain strategic partnerships with other organizations, networks, and stakeholders.
- Foster collaboration and coordination with partners to enhance program impact and resource sharing.
- Represent the organization in relevant forums, conferences, and networks.
- Risk Management and Compliance:
- Identify and manage organizational risks, ensuring appropriate mitigation strategies are in place.
- Ensure compliance with all legal, regulatory, and donor requirements.
- Maintain high standards of ethical conduct and integrity.
- Innovation and Change Management:
- Foster a culture of innovation and adaptability within the organization.
- Lead change management initiatives to enhance organizational effectiveness and impact.
- Stay informed about trends, challenges, and opportunities in the NGO/charity sector.
- Administrative Support:
- Provide administrative support to the CEO, including scheduling meetings (executive meetings, board meetings, and other partner/stakeholder meetings.), preparing documents, and managing correspondence.
- Maintain accurate and organized records, files, and databases.
- Other Duties:
- Perform other duties as assigned by the CEO or Board of Directors.
- Continuously seek to improve organizational processes and performance.

Qualifications:
- Bachelor’s degree (Master’s degree is a bonus) in Nonprofit Management, Business Administration, Public Administration, or a related field is preferred.
- Minimum of 10 years of senior leadership experience in an NGO, charity, corporate or related sector.
- Proven successful strategic planning, fundraising, and organizational development track record.
- Strong financial management skills, including budgeting, financial reporting, and resource mobilization.
- Excellent interpersonal, communication, and negotiation skills.
- Demonstrated ability to lead and manage diverse teams.
- Strong understanding of program development, implementation, and evaluation.
- High level of integrity, accountability, and ethical conduct.

Working Conditions:
- Hybrid-based with occasional travel to conferences, seminars, events and project sites as required.
- Flexible working hours to accommodate volunteer availability.
- Working additional hours during peak periods (event preparations, program, and event executions) or to meet deadlines may be required.
